1. Facet management

Facets are search refinement criteria that appear to the right of the results. They are actually metadata that is used to describe an element. It is through the selection of one or more of them that a refinement of the results is carried out. The configuration of facets is the same for all users as well as for all types of items searched for in a collection. 

The facets that are chosen to be displayed in the search results are the same for all users of the collection (Collation Space) as well as for all types of items searched. 


2. View a facet

  1. Click on " Administration " in the navigation menu;
  2. Then click on " Search Configuration ";
  3. Click on " Facets management ";
  4. In the " Facets " window, click on the magnifying glass to the right of the name of the facet to be consulted. 

In this consultation window, all the characteristics of this facet are visible (title, elements per page, type, order of results, etc.). In addition, you can edit, delete, disable, or enable the facet. 


3. Add a facet

New facets can be added when those proposed are not sufficient to properly sort the search results. 

  1. Click on " Administration " in the navigation menu;
  2. Then click on " Search Configuration ";
  3. Click on " Facets management ";
  4.  In the " Facets " window, click on " Add a facet " on the right side of the screen;
  5. In the "Facet Configuration " window, complete the metadata and click " Save ".

TitleObligatoryThis is the wording that identifies the facet.
Elements per pageObligatoryDefine the number of elements of the facet that appears in priority in the search results without influencing the results. To view more items than defined in this field, use the elevator button. Example of 2 elements per page when there are 5 possibilities.
TypeConditional*Required for query facets.
Example: Here is the setting of the "Create/modify date" facet that runs according to the following queries: modified the last 30 days, created the last 7 days, modified the last 7 days, etc. 
Field codeObligatory*Required for field facets.
This is to select the metadata used to sort this facet. (e.g., archival status, classification heading, etc.)
Type
The types of metadata supported by facets are: boolean, reference, string and number.
Order of resultsObligatoryOccurrences: Gives the order of the results of a facet according to the largest number of occurrences found.
Alphabetical: gives the order of the results of a facet in alphabetical order.
ActiveOptionalIf this option is selected, the facet will be present in the search results window. 
Open by defaultOptionalIf this option is chosen, the facet will appear in the search results window with all the items found. If this box is not checked, the title of the facet will appear and you will have to click on the + to see the elements. 

 


4. Edit a facet

Some metadata cannot be edited in the facets, namely "Type" and "Field Code". 

  1. Click on " Administration " in the navigation menu;
  2. Then click on " Search Configuration ";
  3. Click on " Facets management ";
  4. In the " Facet " window, click on the notebook to the right of the name of the latter;
  5. In the "Facet Configuration " window, edit the metadata and " Save ". 

When editing, some facets (mainly those related to types, for example, document type) offer the ability to add a custom label that appears in the facets for a specific value. When editing these facets, an additional tab appears. 

For these facets, the populate button displays the values related to the type (example below, document type) that are used in Constellio. 

Later, you can add a label that allows you to change the display of the name of the facet in the search results, here is an example: Instead of having the actual date value of the metadata in the facets, for example "Small guide", the facet is rather "Guide". 


5. Enable/disable a facet

  1. Click on " Administration " in the navigation menu;
  2. Then click on " Search Configuration ";
  3. Click on " Facets management ";
  4. To enable or disable a facet, click the green arrow to enable or the red arrow to disable the facet. 

5.1 Fate facets

  1. Click on " Administration " in the navigation menu;
  2. Then click on " Search Configuration ";
  3. Click on " Facets management ";
  4. Click on " Sort facets " on the right side of the screen;
  5. In the " Rearrange facets " window, click on an item in the list and choose the order in which the facets are presented using the arrows;
  6. To confirm the order of the facets, click on " Save ". 


5.2 Delete a facet

  1. Click on " Administration " in the navigation menu;
  2. Then click on " Search Configuration ";
  3. Click on " Facets management ";
  4. Click on the red " X " to the right of the facet name;
  5. In the deletion confirmation window, click on " Yes ".
