Copy a valuable domain to another collection

To copy a valuable domain to another collection, you must export the data related to the value domain and then import it again.


1. Export

  1. Go to " Administration " -> " Data Export ";
  2. Select File plan, retention schedule and departments and click on the " Export Tools " button;
  3. This will start downloading a zip file.

If you open the zip file, you will be able to see a list of XML files and in some cases a data folder. The goal is to keep this zip file with only the XMl file that corresponds to the value domain to import. To do this, go to the value domain to find the code of the value domain that is visible in the URL of your browser.


2. Import

For import, there are three scenarios: 

  • The value domain to be transferred is a default value domain of Constellio
  • The value domain to be transferred is a custom value domain
    • You want to import only this valuable domain
    • You want to copy all the tools from the original collection

2.1 Constellio's default Value domain

  1. Keep only the xml file of the value domain in the zip file;
  2. Go from the import collection to "Administration" -> "Import Records";
  3. Import the zip file.

2.2 Custom Value domain

For the import to work, the value domain must exist in the new collection. There are then two ways to proceed:

  • Recreate the value domain in the new collection and import it all again.
    Or
  • Copy all tools from the original collection (Schematics, administrative units, conservation plan, calendar, value domains, etc.).

2.2.1 Import only one valuable domain

  1. Create a value domain with the same title as the original one in the import collection;
  2. As with the export step, retrieve the code for this new value domain. You can then rename the XML file of the export with the code of the new value domain;
  3. Finally, go from the import collection to "Administration" -> "Import Records";
  4. Import the zip file.
Careful!
This way, the value domain that will be imported will not have the same code as in the original collection. This can therefore desynchronize some tools. For example, if you want to reuse labels, transfer folders/documents to this collection, or if you want to copy your metadata schemas from one collection to another in the future.

2.2.2 Import all tools

  1. Ensure that they are in the original collection, where the information to be exported is located;
  2. Go to the " Export Data " page and export the schemas;
  3. Still on the " Export Data " page, export the classification plan, retention schedule and administrative unit;
  4. Create a new collection OR enter the collection where the data is to be imported;
  5. When you are located in the targeted collection for import, go to the " Import Configurations " page and import the file from step 2;
  6. Go to the " Import Records " page, drop the step 3 file, enable " Allow references to non-existent users " and start the import. ** Keep only xml file.
Careful!
This will copy ALL metadata, schemas, and value domains from the original collection. On the other hand, schemas and value domains will retain their same code, which can make it much easier to share tools such as reports, labels, and even folder/document transfers.
