License management

License management allows you to identify which users or groups have a license for your plugins. This allows you to manage license distributions in your organization based on the number you own.

Expired license
An expired license will prevent any connection to Constellio, excluding the system admin account which will still have access.


1. View a license

  1. Go to "Administration";
  2. Then click on "Manage License";
  3. A page like this will appear;
  4. Click on the magnifying glass at the end of one of the "plugins";
  5. Several elements are available on this page. It is possible to see users with or without a license related to the selected plugin.

2. License management page

In the licensing page, several pieces of information are available.

3. Add a license to a user

  1. Go to "Administration";
  2. Click on "Manage License";
  3. Consult a license by clicking on the magnifying glass at the end of the plugin;
  4. In the "Without licence" users window, select on the left the names of the users you want to assign to a license;
  5. Then, click on the "Assign selected users" action;
  6. Users now find themselves in the "With License" tab and the counter has been updated in the license management page.
Counter
As soon as a license is assigned to a particular user, this will be counted in the counter.

4. Add a license to a group

4.1 Automatically assigning the license to users in the group

  1. Go to "Administration";
  2. Click on "Manage License";
  3. Consult a license by clicking on the magnifying glass at the end of the plugin;
  4. Go to the groups tab, then under "Without license", select a group;
  5. Click on the "Assign Licence" action;
  6. This confirmation window will appear;
  7. Choose "Groups";
  8. The group is now in the "With licence" tab. 
Group license
If you select the "Group" option when assigning the license, the licenses will be assigned when users log in.
For example, six people are part of the "Management" group. I have five licenses available for signing. The first five people in the group who connect to Constellio will have the signing options, but not the sixth. This one will have available the option when one of the other five users logs out.
This is similar to automatic assignment, but on a selected set of people.

4.2 Assigned the license to users in the group

  1. Go to "Administration";
  2. Click on "Manage License";
  3. Consult a license by clicking on the magnifying glass at the end of the plugin;
  4. Go to the groups tab, then under "Unlicensed", select a group;
  5. Click on the "Assign License" action;
  6. This confirmation window will appear;
  7. Choose "Users";
  8. The users of the selected group now appear in the "Users - Licensed" tab and the counter has been updated in the license management page.
Licensed users
Although you go through the group to assign the license, users will appear in the "Users" tab and not "Groups", because it is the users who have a license.

5. Automatic assignment

When this option is checked, it automatically assigns licenses to the selected users. To do this: 

  1. Go to "Administration";
  2. Then click on "Manage License";
  3. On the next page, check the "Automatic assignment" option of the plugin of your choice;
  4. Confirm the action;
  5. Now, as soon as a user logs into Constellio, they will automatically be assigned a license. 
License on a plugin
When you automatically assign licenses, it is assigned to all of your users. So the first user logged in, the first with a license! If no license is available, the user can still log in to the platform, but the user will not have access to the plugin's actions (e.g., signature).

In a case where you want to control automatic assignment, use groups.  Thus, you will be able to add the people who may have the license in a group and give the license to it. Only people who are part of the group will have the opportunity to have the license.

6. Revoke a license from a user

  1. Go to "Administration";
  2. Click on "Manage License";
  3. Consult a license by clicking on the magnifying glass at the end of the plugin;
  4. Select the users you want to withdraw the license and click on "Remove license from selected users";
  5. Licenses are automatically withdrawn.

7. Revoke a license from a group

  1. Go to "Administration";
  2. Click on "Manage License";
  3. Consult a license by clicking on the magnifying glass at the end of the plugin;
  4. In the "Groups" tab, select the group you want to remove from the license and click on the "Remove License" action;
  5. The license is withdrawn automatically.
