Copied Metadata

The copied metadata is in fact a duplication of information already present in Constellio. The goal is to avoid redundancy by entering data once. The copied metadata is auto-populated, taking information from another predefined location. 

Only metadata of type "String", "Date", "Date and Time", "Boolean", "Number" can be copied and it is not possible to copy a value that is multivalued.


1. From system metadata

1.1 Examples of use

  • Have the number of the container where a document is kept.
  • The location of the container where a document is kept.
  • Keywords from parent folders to subfolders.
  • Approving a retention rule on a document.

1.2 Creation Steps

  1. Follow the path of the schema type in which you want to create a copied metadata (Folder, Document, Container, etc.);
  2. Create the copied metadata to reference the metadata of the value domain.
    1. In Reference Metadata, enter the origin of the metadata to be copied
    2. In Source Metadata, enter the desired system metadata.
  3. Re-index.

2. From custom metadata

2.1 Examples of use

  • The project number to be applied to all subfolders of the project.
  • Fiscal year dates for a sub-folder with this date for the calculation of retention periods.

2.2 Creation Steps

  1. Manually create the source metadata in the default schema of its type;
  2. If the metadata is only useful to a custom metadata schema, disable it;
  3. If necessary, create the custom schema where the metadata should appear;
  4. Enable the metadata from step 2 in this schema;
  5. Create the copied metadata to reference the metadata of the value domain. 
    1. In Reference Metadata, enter the origin of the metadata to be copied
    2. In Source Metadata, enter the desired custom metadata
  6. Re-index.

3. From metadata in a value domain

3.1 Example of Use

  • Name of city, its region and country. 
  • List of customers with the end date of the contract.
  • Type of contracts with the monetary value range.
  • The name of the position held with the associated department.

3.2 Creation Steps

  1. Create the desired value domain
  2. Manually create the desired metadata in the value domain
  3. Enter the values in the values domain.
  4. Manually create the reference metadata with the value domain
  5. Create the copied metadata to reference the domain's metadata
  6. valuable.
    1. In Reference Metadata, enter the value domain
    2. In Source Metadata, enter the custom metadata created
  7. Re-index.
