Assigning Negative Authorization

Negative permission is the granting, or denying, access to a folder or document to a defined user or group of users. In this way, it is possible to give, or remove, read, write, or delete access from the authorization window of the document itself. The functionality therefore makes it possible to order access in a specific way, according to various documentary needs. 

The big distinction with positive attribution is that handling negative permissions is done at lower levels of the tree, rather than on an extended set of folders or documents. In this way, it is impossible to assign a negative authorization on a batch treatment. Also, it is not possible to set negative permissions on administrative units. 


1. Assign negative authorization

To assign a negative authorization, it is necessary to access the consultation sheet of a file or document. Subsequently, it is possible to allow or deny specific access to a user or group of users. Concretely, the steps are: 

  1. Click on a folder or document;
  2. In the right menu, click on " Authorization ";
  3. In the menu on the right of the authorization sheet, click on " Add an authorization ".

Once the window is open, different sections will be displayed. Some must be completed, and others are optional:

The metadata " Authorized User(s) " and " Authorized Group(s) " are mandatory since the assignment of access is done according to an already established authorization. Access can be assigned to a user and group, or to either, as needed.

The assignment of a negative authorization takes into account the role of the users of the collection. If a user is both Administrator and User, he will have constant access to the entire collection, despite the assignment of a specific refusal. 

2. View a negative permission

To view a negative permission, follow these guidelines: 

  1. Consult a file or document;
  2. Clicking on the "Authorizations" action will bring up the registration authorization form;
  3. Once opened, a section is reserved for specific permissions (Read/Write/Delete). 

Viewing negative authorizations is no different from viewing positive authorizations. The access windows and the path to get there are the same. Only the way authorizations are assigned changes.


3. Withdraw a negative authorization

A negative authorization is removed from the authorization card of the document or folder. 

  1. Consult a folder or document;
  2. Clicking on the "Authorizations" action will bring up the registration authorization form;
  3. Once the window is open, click on the red " X " button, next to the specific authorization. 

Also, it is possible to withdraw a negative authorization by visiting the page of authorizations assigned to a user. In the same way, it is a question of clicking on the red "X" button, then validating the deletion of the authorization.
