The Task Management Page
Tasks are activities to be performed. They allow you to track and assign these activities to yourself or other users. Tasks are also used for request management in Constellio.
Tasks are accessible via the navigation menu on the left of the screen.
Configuring the mail server
A notification system allows you to be notified when tasks are assigned to you. A blue square appears with the number of unread tasks and an email is sent to the user. To enable the email notification system, configure the Email server.
2. Display the tasks
The tasks are visible in the sections of the task navigation menu.
Tab | Definition |
---|---|
My tasks | These tasks are tasks that have been assigned to you. They are to be performed and completed. |
Shared tasks | These tasks have been shared with you. They have been assigned to you as a collaborator. You can view or modify them according to the access you have been given. However, you will not be able to change their status and complete them. |
Tasks assigned by you | These tasks are tasks that you have created, but assigned to other users. You can view, edit and share them. |
Available tasks | These tasks are tasks that have not been assigned to any user. All users in your administrative unit can perform and complete these tasks. |
Recently completed tasks | These tasks are tasks that the user has access to, i.e. tasks that he has been assigned, candidate or collaborator as well as tasks of his administrative unit. This tab displays them after they have been "Completed" in the actions on the tasks. |
Recently closed tasks | These tasks are tasks that the user has access to, i.e. tasks that he/she has been assigned, candidate or collaborator as well as tasks of his/her administrative unit. This tab displays them after they have been "Closed" in the recently completed task actions. Difference between "Recently Completed Tasks" VS "Recently Closed Tasks These tabs allow you to manage your task module as you wish. For example, completed tasks can be found in the "Recently completed tasks" tab. After a week, you could clean them up and delete them completely (if you don't need to keep them) or close them so that they end up in the "Recently closed tasks" tab. The reason is simple: this allows you to manage your still relevant tasks from the ones that are not, while freeing up space in the "Completed" tab. |
5. Sort Tasks
This option allows you to sort the tasks in the table according to a specific metadata.
It is possible to move a task up by clicking on the star to the left of the task.
3. Action menu
The action menu available via the three dots offers several possible options on the task.
