Recycle Bin management
The Recycle Bin allows you to restore and permanently delete deleted documents, folders, containers, tasks, retention rules, and classification plan topics. The items visible in the Recycle Bin vary depending on the user's roles and permissions on the collection and on one or more administrative units. A single Recycle Bin exists for all users in a collection and by default, it keeps items for 90 days before deleting them without any warning.
1. View items in the Recycle Bin
- Click on " Recycle Bin" in the navigation menu;
- Click on the arrow in the Type field;
- Choose a record type. All items present in the Trash for this type of recording will be displayed on the screen.
2. Sort items in the Recycle Bin
There is no search window in the Trash. Here are some tips for sorting your items after selecting a record type.
In the upper right corner, a wheel ticks the information that should appear on the board. Subsequently, it is possible to sort the table by clicking on this information. For example, in the table below, we could sort by title, date modified, or date deleted.
In each of the tables, the sorting criteria appearing with the roulette wheel vary according to the type of record selected.
3. Restore items in the Recycle Bin
Restoring items in the Recycle Bin returns these items to their original space (where it was before they were deleted). For folders and documents, if the parent item was deleted with them, it will not be possible to restore those items without also restoring the item to which they are to be returned.
If we want to restore an item whose item has been deleted, Constellio gives us the following error message: The following items could not be restored, because they refer to deleted items: name of the file that could not be restored.
- Select the type of record to restore;
- Select one or more items from the list;
- Choose " Restore Selection ", the items will then be restored to their previous locations.
3.1 Restore a sub-record
It is possible that when restoring sub-records, your approach may not work. If a document or folder is linked to another folder and the latter is deleted, it will not be possible to restore these items without the main record. In this case, you will have to restore the main folder of the record. To find out this folder, use the configuration wheel at the top right of the table and add the metadata "Parent folder" for a folder or "Folder" for a document. This way you will know the name of the folder to look for in the search to restore the document or sub-folder.
- Select a folder/document to restore;
- Restore the record. This error message appears;
- In the table, under the configuration wheel, select the corresponding folder metadata;
- For a sub-folder, select the "Parent folder" metadata;
- For a document, select the "Folder" metadata;
- Search in the search bar, the corresponding parent folder and restore it.
4. Delete items before the intended deletion date
This action permanently deletes the item and their metadata card for folders and documents. It is not possible to undo this action.
- Select the type of record to delete;
- Select one or more items from the list;
- Choose " Delete Selection ", the items will then be permanently deleted.
1.5 Search the Trash
This action allows you to search a record type in the Recycle Bin.
- Select the type of record of your choice;
- In the search bar, enter a keyword and click on the search button;
- The search results change accordingly to the keyword.
