The Interface 

The interface provides access to Constellio functions. It includes the logo, navigation menu, user profile, search bar, collections, notification center, selection cart and drop-down menu. These sections are accessible in all screens of the system.


The "Constellio" logo is a button that takes the user back to the home.

It is possible to modify its URL link via: Pilot -> Configuration -> Others -> Modify the "Logo link target" -> Save.

It is also possible to modify the logo via: Control -> Configuration -> Others -> Logo (requires reconnection) -> Save.




2. The navigation menu

The navigation menu provides access to the different Constellio modules. It includes reception, personal space, tasks, favorites, downgrading, auditing, piloting, the recycle bin and the system.

Depending on the roles and modules attached to Constellio, the visible sections may vary.

3. Home 

This section displays your virtual spaces and several tabs. The elements displayed in its tabs are modulated according to your accesses.


3.1 Virtual spaces

This tab includes the trees of the classification plan, administrative units, and other spaces such as locations and thematic portals.

*Click on the arrows to deploy the sections. Folders and documents can be accessed through these sections.

Tree items appear only if they contain at least one folder that you have access to.

3.2 Recent folders and documents

These tabs list the last two hundred folders and documents that you have recently viewed or edited.


3.3 Borrowed documents

This tab lists the documents you have borrowed. These are often documents that you want to make a change to via the Constellio Agent. These documents are also available via the Constellio Agent "Checked out documents".

Managing loans
It is possible for the Constellio administrator to manage all the loans made in the system. For more information, see article Loan management of the guide.

3.4 Shares

This tab displays the folders and documents that you have shared and that they have been shared with you.

4. Personal space

This section displays your personal space which is unique to each user. The personal space is modulated according to your role and your access.

5. Tasks

This section displays the tasks assigned to you.

Notification system
A notification system allows you to be notified when tasks are assigned to you. A blue square appears with the number of unread tasks and an email is sent to the user. To enable the email notification system, set up the email server.

6. Favorites

This section displays your favorite groups and favorite groups that have been shared with you.

7. Record management

Use this section to generate downgrade lists, create containers, and produce reports.

Only administrators and document managers can see this section.
Decommissioning

8. Audit

This section allows you to consult the complete history of all the actions taken in Constellio.

9. Administration

This section allows the management and control of the filing space, the creation of tools related to document management as well as the configuration of system options.

10. Recycle bin (trash)

Use this section to manage the restoration and permanent deletion of records.

11. System

This section shows the status of the system. Icons are used to differentiate between states. 

States in need of intervention  

A significant error has occurred, the server configurations are inadequate, or reindexing is required. The server is in a state of emergency and an intervention must be made quickly.

States in need of investigation 

The server configurations are inadequate or the license is invalid/not installed. An investigation of the problems should be done, but the server is not in a state of emergency.

States meeting expectations 

The server is well configured.

12. Powered by Constellio

This URL link links to the Constellio website in addition to indicating the version of the system you currently own.


13. User profile

Use this section to manage your user profile.

The search bar allows you to perform a simple search and an advanced search.

15. Collections

The collections drop-down menu allows you to navigate from one collection to another.

16. The Clipboard

The clipboard allows you to do batch actions on folders and documents.

It is possible to select folders, documents and borrowed documents.

  • The proposed actions will be different depending on the selected records.
  • If the selected documents and folders offer different actions, no action may appear.
  • Documents selected in the Office can only be "File".

17. Notifications

The bell notifies when messages are communicated. 


18. The drop-down menu

The drop-down menu allows the following options: 

  • Add a folder
  • Create a document (Requires Constellio Agent installation)
  • Add a document
  • Add a container
  • Add a task
The options are modulated according to your role and your accesses.
